Planning a wedding, reunion or big group trip to Los Cabos? Why sleeping capacity is not event capacity, what to confirm about event policy before booking, and verified estates from 8 to 13 bedrooms.

For a wedding, a milestone birthday, a family reunion or a corporate retreat, a large private estate does something a block of hotel rooms cannot: it keeps everyone together. Shared mornings by the pool, dinners on the terrace, and a private suite for each couple at the end of the night.

Los Cabos has a genuine bench of seven-bedroom-plus villas with the living space, pools and staff to host a crowd. But there is one thing that catches groups out repeatedly, and it’s worth stating before anything else.

The critical distinction: sleeping capacity is not event capacity

This is the single most expensive misunderstanding in group villa booking.

A villa that sleeps 24 does not automatically permit a party of 60. Overnight capacity and event capacity are separate permissions, governed by the owner and often by the gated community the villa sits in. Some villas welcome events. Some allow them with a strict guest cap. Some prohibit them outright — and will say so after you’ve fallen in love with the photographs.

If a ceremony, a large party, or any gathering beyond your overnight group is the reason for the trip, raise it in your first message. Not after the deposit. Not a month out. First message.

What to confirm before you commit to an event villa

  1. Does the villa permit events at all — and does it need owner approval?
  2. What is the guest cap for a non-overnight gathering?
  3. Is there an event fee, and a separate event damage deposit?
  4. Noise limits and end times. Many gated communities enforce a hard cut-off — often earlier than a wedding party expects.
  5. Are outside vendors permitted? Planners, caterers, florists, musicians — some communities restrict vendor access or require pre-registration.
  6. Parking and access for guests arriving from elsewhere — a real constraint in hillside communities.
  7. Is a wedding permit or licence required for a ceremony?

A good villa company answers all seven before you pay anything. If the answers are evasive, that is the answer.

Think in gathering space, not bedroom count

The most common mistake in group bookings is optimising for bedrooms and forgetting where 24 people will actually be.

  • Can everyone sit at one table? A villa that sleeps 24 but seats 12 for dinner will quietly frustrate you every single evening. Group trips revolve around the table — check it.
  • Is there a living area the whole group fits into when it rains, or when it’s too hot for the terrace?
  • Is the outdoor space usable across the day — shade at midday, and somewhere to be after dark?
  • Bedroom parity. If one couple gets a suite and another gets a windowless box, you’ll hear about it. Look for multiple comparable primary suites.
  • Sound separation. With late-night groups and early-rising children in one house, the layout determines whether both survive the week.

Service is not optional at scale

Catering for 20 to 30 people is a job. At this size, staffing stops being a luxury and becomes the thing that makes the trip function:

  • A private chef for welcome dinners, rehearsal meals and the big night — with groceries billed at cost.
  • Full staff to reset a house that 24 people are living in.
  • Extra staff hours for any night that runs long — arranged in advance, not requested at 11pm.
  • Transport planning. Moving 24 people to a restaurant requires vehicles and a booking that can seat you together. Both need arranging early.

Book earlier than you think

Large estates are the scarcest category in Los Cabos — there are far more six-bedroom villas than twelve-bedroom ones. For peak dates, six to twelve months ahead is sensible, and for Christmas and New Year, earlier still. Weddings, which come with a fixed date and no flexibility, should be locked as early as you possibly can.

Can we host a wedding or party at the villa?

Some villas permit events with a guest cap and conditions; others are for overnight guests only. It typically requires advance owner approval, and may involve an event fee, a separate deposit, noise and end-time limits, and vendor restrictions. Does sleeping 24 mean we can invite 60 people?

No. Overnight capacity and event capacity are entirely separate. Always confirm the event guest cap in writing before planning around a villa.

How far ahead should we book a large estate?

Six to twelve months for peak dates. The biggest villas are the first to go, and a wedding date has no flexibility — so book as early as you can.

Do large villas come with staff?

Most include housekeeping and a villa manager, with chef service commonly available on request. A number are fully staffed. We confirm exactly what’s included per property.
